Confidentiality Policy

Last updated: 10 October 2026

This policy explains how AIWorkforce.group protects the confidentiality of information you share with us.

1. Introduction

This Confidentiality Policy explains how AIWorkforce.group ("we", "us", "our") protects the confidentiality of information shared by visitors, prospective clients and clients of our website (aiworkforce.group) and our AI workforce, AI solutions and related services (the "Services").

We recognise that the information you share with us — about your business, operations, customers and people — is among your most valuable assets. This policy sets out the principles and safeguards we apply to keep that information confidential.

Where you engage our Services, the specific confidentiality obligations that apply between us will be set out in a separate written agreement, such as a Non-Disclosure Agreement (NDA) or service agreement. In the event of any conflict, that agreement will take precedence over this policy.

2. What We Treat as Confidential

We treat the following categories of information as confidential ("Confidential Information"):

a) Business information: business plans, strategies, financial data, pricing, margins, customer lists, supplier information and operational processes;

b) Technical information: software, source code, algorithms, models, configurations, system designs and technical documentation;

c) Intellectual property: trade secrets, know-how, proprietary methodologies and unpublished AI workflows;

d) Personal data: any personal information we process on your behalf or that you provide to us, handled in accordance with our Privacy Policy and applicable data protection law;

e) Communications: the content of our discussions, demonstrations, scans, proposals and any materials we share with you.

3. How We Protect Your Information

We apply a combination of technical, organisational and contractual safeguards to protect Confidential Information:

a) Access controls: access to Confidential Information is restricted to authorised personnel who need it to deliver the Services or operate our business.

b) Confidentiality agreements: our employees, contractors and subprocessors are bound by confidentiality obligations.

c) Secure systems: we use encryption in transit, access logging, network security and regular security reviews.

d) Data segregation: client information is logically separated and processed only for the purposes agreed with you.

e) Training: our team receives training on confidentiality, data protection and information security.

f) Incident response: we maintain processes to identify, contain and respond to potential confidentiality breaches.

4. How We Use Your Confidential Information

We use Confidential Information only for the purposes for which it was shared — to evaluate, propose, deliver or improve the Services — and not for any unrelated purpose without your consent.

We do not sell, rent or trade your Confidential Information. Where we engage subprocessors to help deliver the Services, they are bound by contractual confidentiality and data protection obligations.

5. Processing by Our AI Systems

As part of the Services, your information may be processed by our AI systems, including our AI operating system and the AI Workforce. We apply the safeguards in this policy and our Privacy Policy to such processing.

Where you require specific limits on how your data is used to train or improve AI models, these will be addressed in your service agreement.

6. Exceptions to Confidentiality

Information is not treated as confidential where:

a) It is or becomes publicly available through no breach of these terms;

b) It was known to us before it was shared, free of any confidentiality obligation;

c) It is independently developed without use of your Confidential Information;

d) We are required to disclose it by law, regulation or order of a court or regulator, in which case we will, where lawful and practicable, notify you in advance.

7. Retention and Deletion

We retain Confidential Information only for as long as necessary to deliver the Services and meet legal, accounting or regulatory requirements. When it is no longer required, we delete or anonymise it in accordance with our retention schedule.

You may request return or deletion of your Confidential Information, subject to any legal retention obligations, by contacting us using the details in Section 9 (Contact Us).

8. Your Confidentiality Obligations

Confidentiality is mutual. Where we share our own Confidential Information with you — for example, methodologies, demonstrations or proposals — we ask that you treat it with the same care, use it only to evaluate or receive our Services, and not disclose it to third parties without our consent.
